UNLOCK Tests Employee Experience Guide

UNLOCK Employee Experience assesses employees’ job satisfaction, empowerment and loyalty as well as the microclimate and culture of the organization.

Employee Experience allows you to analyse your organisation from different perspectives, create different studies and compare them with each other.

Start of the survey

Creating additional questions

On the left-hand side of your account, you'll see the tools which you have.

Employee Experience allows you to custom your own questions in addition to the areas assessed by UNLOCK Tests.

If you want to add additional questions to the Employee Experience survey, select Custom content on the left hand side. You can create open-ended questions and/or question scales. These must be created before the survey is run. The results of the scales will be visible in the report and the answers of the open questions will be available in the xlsx.

Open questions

Choose Create new question.

In the Template section choose UNLOCK Employee Experience.

Choose the language in which the question will be formed. Enter a question. If you want the same question to be in several languages, select Add translation to translate it into different languages, making sure to select the language of the question. Press Save.

If the employee chooses to complete in a language other than the main language of the survey, and there is no additional question in the chosen language, those additional questions will be displayed in the default language of the survey (the one in which the invitation email was received).

Once saved under Open Questions, you will see your saved questions.

By clicking on a question, you can view, edit or delete it.

Question scales

The scales consist of different statements. Click Create new scale.

Near the Template select UNLOCK Employee Experience.

Choose the type of scale, language and fill in all fields. To add additional questions to the scale, click Add question.

If you want the same question to be in several languages, select Add translation to translate it into different languages, making sure to select the language of the question. Press Save.

Once saved, you will see the scales you have created next to the Question Scale.

You can view, edit or delete the scale by clicking on it.

Creating and sending a survey

Employees and Organizational Structure

Employee data is imported for the first time by the UNLOCK Tests team by employee and unit. If you want to modify the data or add new employees in the future, select All employees -> Create new employee.

You can assign employees to units, select Organizational Structure.

Create a unit type.

For unit type Create a unit and assign employees.

Survey creation

Select Employee Experience.

Choose Create new survey.

Choose a language.

Name the survey, for example.: Microclimate.

Then select the participants in the survey. Click on one of the options: if you are sending to the whole organisation, you can choose "structural units" - this will help you to tick all the relevant employees in the structure.

If there are more users in the account who do not have access to see all the units, you can tick the box "survey participants can be seen by administrators of all structural units" if necessary, so that users who cannot see a particular unit can see it in this survey.

QR codes

You can also choose to allow employees to complete the survey using a QR code. With QR codes, employees can scan the code with their phone and complete the questionnaire, or you can send them a single link. If you wish to collect information on age and gender, please tick these fields. You will see comparisons by these demographics in an Excel table.

Survey settings

Choose which scales you want to assess by unticking/ticking the boxes. On the left hand side you will see the areas assessed by the UNLOCK Tests, if some areas will not be assessed, untick them. The scales/questions you have created will be shown on the right hand side, untick them if you want to include them in the study. The estimates of the scales will be visible in the report and the answers to the open-ended questions will be visible in the Excel file.

In the window, you will see summary information about the selected survey elements. Click on the Email message.

Email message

You will see an introductory message - an email message to your employees, which you can change as well as the header of the email as you wish.

Click Create and send. Once selected, you will see a summary. A separate letter will be sent to each employee with an individual survey link. If you're ready, you can create and send the survey, or save it and come back to it later.

If you choose the QR codes option, you will need to create them when you enter the survey (after you create the survey). Click on the icon in the top right corner.

Here you will find all the QR codes and you can create new ones. Select Add QR code.

If you want different units of the structure to receive different QR codes so that you can compare results between units, select the unit. A QR code will be generated for each unit. If you want to monitor whether QR codes have been overused, please specify the number of participants expected to use this QR code for comparison purposes (optional).

You will see the QR codes you have created. You will be able to view and download them. You can also copy the QR code link and send it to participants. Or perform other actions with the QR code.

Progress of the survey

In the system you will see all the surveys you have created and the progress of the filing per employee, you can also see the overall summary by clicking on the chart in the right corner.

By selecting to use a QR code and viewing the results, it is possible to see which QR codes have been assigned and completed as a unit and which as a section

For the same employee, it shows that it is filled only as a department or only as a unit.

To add additional employees to the survey, select Add more participants at the top of the survey.

If they have not yet been created in the system, on the left-hand side of the screen, select All Employees and Create Employee and enter their details.

When you go to the survey, you will see the employees who have completed the survey and you can send reminders to those who have not yet completed it. Click on the three dots next to the employee's name on the right-hand side of the row and click Send reminder. You can also remove employees from the survey.

You can also choose to send reminders to all those who have not completed the form. Select the Bell at the top of the survey.

Results

When more than 4 employees fill in the survey, you can generate UNLOCK Employee Experience report and you can also download the results in Excel format, including the answers to the open-ended questions. As long as less than 4 employees have completed the form, these buttons will be inactive.

You can generate a report with all departments, select the language of the report and choose Confirm. All departments will be included in the report. You can include individual units and compare them with each other.

You can also generate a partial report by selecting which departments you want to see in the report.

You can also compare the results of the survey with the results of another survey, e.g. from the previous year. Select Compare report enabled.

Once the report is generated, click View Report and/or Download PDF.

Group reports

When you go to Employee Experience, you can see all the surveys you're running. Here you can create group reports. Group reports are comparisons between different surveys (for example, if different groups of companies are involved). Click Group reports.

Next, select Create group report, select a language, enter a name.

Choose which surveys you want to include.

Choose Create.

When you go to Group reports, you will see the generated reports and you can view them.

Completion of the survey

If you no longer want staff to continue filling it in after the survey is finished, click on the LOCK and lock it. You can unlock it again if you need to.

To create a new survey based on an old one, click Copy existing survey.

Employees will be able to select the language in which to complete the survey by clicking on the link.
